OneDrive not syncing: quick fixes and how to reset it

What to do when OneDrive shows a red X or "Processing changes": quick fixes, invalid file name characters, how to reset OneDrive and sync limits.

3 min

A OneDrive sync problem usually shows up as a colleague not seeing your latest file, or an old version on your computer. Most of the time you can fix it yourself in ten minutes. The steps below go from the simplest to the most thorough.

Symptoms

  • the OneDrive cloud icon in the taskbar has a red X or an exclamation mark;
  • OneDrive shows "Processing changes" or "Looking for changes" for a long time;
  • files have a red X or a sync arrows icon that never goes away;
  • the cloud icon is grey – OneDrive is not signed in;
  • changes do not reach other computers or the web.

Click the cloud icon: the panel often says exactly what is wrong and which file causes the problem.

Quick fixes

  1. Pause and resume. Cloud icon → gear → Pause syncing → 2 hours, then Resume syncing.
  2. Restart the computer. Simple, but it fixes a surprising amount.
  3. Close files in other apps. A file open in Excel or Word cannot always sync, especially if it was opened from an old desktop version or a network folder.
  4. Check storage. Gear → Settings → Account shows your OneDrive storage. A full cloud drive will not accept new files. Also check there is space on the computer's disk.
  5. File names. OneDrive and SharePoint do not allow the characters " * : < > ? / \ | in file names, and some names are blocked (for example desktop.ini is not synced, nor are names starting with ~$). Rename the file.
  6. Path length. The full path including folder names must not be too long (up to 400 characters in the SharePoint URL). Deep folder structures and long names are a common cause – shorten the folder names.
  7. Sign out and back in. Gear → Settings → Account → Unlink this PC, then sign in again and choose the same folder. Your files remain in the cloud.

Files On-Demand

If the computer is short of space or a folder holds many files, turn on Files On-Demand (Settings → Sync and back up → Advanced settings). Files are then downloaded only when opened, and all of them remain visible in File Explorer. Mark important folders Always keep on this device so they are available offline.

Resetting OneDrive

If the quick fixes do not help, reset OneDrive. This does not delete files; it reconnects all synced folders.

  1. Press Windows + R.
  2. Enter %localappdata%\Microsoft\OneDrive\onedrive.exe /reset and press OK.
  3. If Windows says the file cannot be found, try C:\Program Files\Microsoft OneDrive\onedrive.exe /reset.
  4. The cloud icon disappears and should come back after a few minutes. If it does not, start OneDrive with %localappdata%\Microsoft\OneDrive\onedrive.exe.

After a reset OneDrive re-checks every file – with a lot of data this can take hours.

SharePoint library limits

If you have synced several large SharePoint libraries to File Explorer, OneDrive can become slow or sit in "Processing changes" constantly. For good performance Microsoft recommends not syncing more than roughly 300,000 files in total. The fix: sync only the folders you need (or use Add shortcut to My files) and leave archives on the web only.

When to call a professional

If conflicts persist after a reset, files disappear or get duplicated, or the problem affects several computers at once, the cause is probably in the library structure or permissions. That is the time to call a specialist – ITABIKS helps as part of Microsoft 365 administration, phone +372 53 888 229.
